CRM Ground is a job and customer management platform for security installers. This policy explains what personal data we hold, why we hold it, and what you can ask us to do with it. We have tried to write it in plain English.
CRM Ground is operated by Metserve Media, Suite 82 Dorset House, Duke Street, Chelmsford, CM1 1TB. We are the data controller for the data of people who sign up to CRM Ground or join our waiting list. For the customer records that an installer stores inside their CRM Ground account, the installer is the data controller and we act as their data processor.

Account data. When you create an account we hold your name, email address, the name of your business and your login details. We use these to run your account, keep it secure and contact you about the service.
Waiting list. If you join the waiting list on this website we hold your email address so that we can tell you when CRM Ground is available. Nothing else is collected and you can ask to be removed at any time.
Data you store in CRM Ground. Installers use CRM Ground to keep records about their own customers: names, contact details, site addresses, equipment installed, visits, jobs, invoices and messages. We hold this data on the installer's behalf and only use it to provide the service. We never sell it, share it with advertisers, or use it to train artificial intelligence models.
Connected services. Installers can connect tools they already use, such as WooCommerce, Stripe, GoCardless, Calendly, TextMagic and Google Calendar, so that CRM Ground can bring their existing data together. Data from those services is only read for the purposes described when you connect them. Access keys for connected services are stored encrypted and are never shown in the app once saved.
Usage and technical data. Our hosting providers keep standard server logs, including IP addresses and the pages requested, for security and for diagnosing faults. We do not run advertising trackers on this website or in the app.
If you choose to connect your Google account, CRM Ground asks for permission to see the list of your calendars and to read and write events. Here is exactly what it does with that permission.
What we read. Event titles, dates, times, locations and descriptions from the calendar you select, so that bookings you already have in Google Calendar appear in your CRM Ground diary and can be linked to your customers.
What we write. When an installation job is booked, CRM Ground creates one calendar entry containing the job title, the site address and the equipment required, and keeps that entry up to date if the job moves or is cancelled. CRM Ground only ever edits entries it created itself. It never changes or deletes an entry that you or anyone else typed.
What we store. The calendar events we read are stored in your CRM Ground account so that they can be shown in your diary. The access token that Google gives us is stored encrypted and used only to talk to Google on your behalf.
What we do not do. We do not share Google user data with anyone else, we do not use it for advertising, and we do not use it to build or train artificial intelligence or machine learning models. CRM Ground's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
Disconnecting. You can disconnect Google at any time from Settings → Connections in CRM Ground, which deletes the stored token. You can also revoke CRM Ground's access from your Google account permissions page. Calendar entries already copied into your CRM Ground diary stay there until you delete them or close your account.
CRM Ground's database and file storage are hosted by Supabase in the European Union. The web application is served by Vercel, and this website by Cloudflare. Data is encrypted in transit and at rest. Where a provider processes data outside the UK or EU, this is covered by standard contractual clauses or an equivalent safeguard.
We keep account data for as long as your account is open. If you close your account we delete your data within 30 days, except where we must keep a record for legal or accounting reasons, for example invoices. Waiting list emails are deleted when you ask us to remove you or when the waiting list closes. Server logs are kept for a short period by our hosting providers and then discarded.
Under UK data protection law you can ask us to show you the personal data we hold about you, correct it, delete it, restrict how we use it, or give you a copy in a portable format. You can also object to certain uses. To do any of these, email privacy@crmground.com. If you are a customer of an installer who uses CRM Ground, the quickest route is to contact that installer directly, and we will help them respond.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
This website uses no cookies. The CRM Ground app uses only the cookies needed to keep you signed in. There are no advertising or cross site tracking cookies.
If we make a meaningful change we will update the date at the top of this page and, for changes that affect how we use your data, tell account holders by email.
